What we use

We use store identity, order and line-item identifiers, customer names and email addresses, customization details, uploaded artwork, comments, and approval decisions to provide design review and production records. We do not collect payment card details.

Who can access a proof

Merchant access uses Shopify authentication. Customer links are private, expire after 30 days, and can be withdrawn by the merchant. Anyone who receives a valid link can review and respond to that proof. Keep the link private.

Service providers

Shopify provides installation and billing. Railway hosts the app and database. Private S3-compatible storage holds artwork. Resend processes transactional email delivery. These providers process data needed to operate the service.

Retention and deletion

Cancelling a paid plan while keeping the app installed preserves outstanding review workflows within the retention periods below. Uninstalling withdraws customer links and stops notifications. Store data is queued for removal when Shopify sends its store-redaction request. Customer-redaction requests remove the relevant proof records and files. Operational database backups may retain deleted records for up to 30 days.

Completed proofs are kept for 12 months after completion; cancelled proofs are kept for 12 months after cancellation. Unpublished drafts are kept for 180 days without an edit, upload, or comment. Proofs still awaiting review or production remain available until completed, cancelled, or removed through a data-deletion request.

Activity logs are kept for 12 months. Private copies prepared for support or data requests expire after seven days. We check for expired records hourly and queue their deletion, including associated artwork and previews. Copies downloaded by a merchant or recipient are under that recipient’s control.

Your requests

Customers can contact their merchant for a copy or deletion of their data. Merchants can download approval records from the app and contact our support team for data requests. We do not sell customer data or use artwork to train AI models.
